About Calculation Field Definitions
In addition to the earnings and deductions that will show on employees’ payslips you may also define calculation fields which may be used to record and calculate amounts such as Leave or Bonus Provisions, Medical Aid Contributions, Package Components, etc. which do not reflect as such on the employees’ payslips.
The description for the Calculation Field is entered on the Calculation Field Definition Screen (XD). The same description will automatically be reflected on each employee’s Calculation Screen (XS).
How to Access the Calculation Fields Definition Screen
To access the Calculation Fields Definition Screen from the VIP Main Menu:
- Click on Payroll.
- Click on Definitions.
- Click on Calc Field Definitions.
- The Calculation Fields Definition Screen will be displayed.

In most instances this screen will already be set up according to your company's requirements. You may however add fields, make changes to the existing setup, or delete fields that are not used.

How to Add a Calculation Field Definition
- Click in the Description column of the first available line and press <Enter>.
- The system will automatically complete the line for you if you have entered information in the Description column.
- To overwrite the system defaults, click in the required column and select the applicable option from the list provided.
- Columns:
- BCEA Remuneration: Options are: Not linked, Standard, Variable and Guaranteed.
- IRP5 Code: Select the applicable code from the list of IRP5 Codes.
- Incl SDL: Options are: Full and Not Included.

When you click on this button, all flags will be reset according to VIP recommended defaults.

How to Change a Calculation Field Definition
- Click in the column of the line where changes must be made en select the required option from the list provided.
It is advisable to contact the VIP Call Centre before making changes to this screen, as it may have a tax implication on your Payroll.

How to Delete a Calculation Field Definition
- Click in the Description column of the applicable line and delete the description.
- Press <Enter>.
- The line will be deleted.
It is advisable to contact the VIP Call Centre before deleting Calculation Field Definitions.
It is advisable to delete unused lines at the start of the tax year.
